This help page walks through the ACH Universal Online demo for QuickBooks Online.
You will need an ACH Universal Online - a free trial account is fine - and a QuickBooks Online account to follow along.
If you don't already have an ACH Universal Online account, sign up here for a free 30-day trial.
Need a QuickBooks Online account? See Intuit's QuickBooks website for additional information.
When you login to ACH Universal, select ACH for this initial account (Account 1).
For this walk-thru, we'll use ACH as an example.
Note: You can always add additional accounts for both ACH and EFT in the future.
On the Home Page - click the large QuickBooks Online Integration tile.
I. Connecting to QuickBooks Online - Setup
Click on the 'Connect to QuickBooks' button on the QuickBooks Online Integration Window to initiate the authorization process.
Log into your QuickBooks Online Account by entering your credentials and select an account if applicable.
II. Selecting an account from QuickBooks Online - Setup
Now, switch back to our software.
Select a bank account to work with from your QuickBooks Online Company and click 'Save Bank Account'.
III. Working with Transactions from QuickBooks Online
On the Transactions tab, select a date range that has transactions in your bank account and click 'View Transactions'.
Tip: You can skip opening profiles for now.
You will now see the transactions from QuickBooks Online listed, however, none of them are able to sent as there are no banking details (Status is 'Missing bank details') for your Customers, Employees and Vendors listed.
Don't have any transactions?
The easiest and quickest transactions to create within QuickBooks Online are Checks. Simply create as many as you want. Other recommended quick transactions are Bill Payments and Sales Receipts.
Enter banking details for a vendor.
In this example, I'll select the three dots on the far right of one of our vendors, American Express and click on 'Complete Profile'.
Note: I could have also switched tabs from Transactions to Profiles and viewed a full listing.
Complete a sample profile by entering a bank account number and routing number. 'Save' when done.
Note: You cannot make up an ABA/Routing Number. Use 063000047 if you don't know one.
Reminder: You cannot make up an ABA/Routing Number. Use 063000047 if you don't know one.
Once you update a profile, you can use this profile in future sessions as well (it is persistent).
Here you can view all available transactions.
If you wanted to modify which records will be included in the ACH/EFT File, you can mark them here with Do not send (temporary), Do not send (permanent) or Send (over-ride).
Ready to create? Click 'Create ACH File'.
You'll be prompted with 'Go to Setup?' (click No for now).
It is ok to create a file for internal testing without your bank's header information.

All Done - congratulations!!!!
You'll be prompted to download the ACH file (feel free to do so).
In addition, the file will first 10 rows of the file will be available in the preview pane below - or you can view the full content in your browser by clicking on the link 'Show full content'.
IV. Profiles - How they hold banking information
Profiles hold the banking data for each Customer, Employee and Vendor processed.
How profiles are automatically added
Profiles are automatically created / added when you click 'View Transactions' from the Transactions tab.
If a profile already exists for the Customer/Employee/Vendor - no profile is added.
If a profile does not exist, the system will create one.
Please remember:
--While the profile is created, it needs to be completed with the account number and ABA/Routing number.
--ABA/Routing numbers must be actually issued numbers, you cannot make them up. Use 063000047 as an example if you need one.
To view/edit a profile, select the profile - then click 'Edit'
