Overview
One-to-One Matching is one of the core reconciliation features in Bank Rec Online. It automatically matches transactions between your bank statement and general ledger based on predefined matching rules.
These rules help reduce manual reconciliation time by identifying transactions that should be paired together automatically. Matching rules are processed in order, from top to bottom, allowing the system to prioritize the most accurate match types first.
Available One-to-One Matching Rules
Bank Rec Online includes several built-in matching methods:
- Check-to-Check Matching
- Void-to-Issue Matching
- Alphanumeric Matching
- Amount-Only Matching
Enable the rules that best fit your reconciliation process. The system evaluates each rule sequentially and stops once a valid match is found.
Note: User Defined Matching is configured separately through Categories and Advanced Matching Rules.
Check-to-Check Matching
Default Setting: Enabled
How It Works
Check-to-Check Matching compares:
- Check Number
- Transaction Amount
The system matches a cleared check from the bank statement to an issued check from the general ledger.
Requirements
For a successful match:
- Check numbers must be identical.
- Amounts must be identical.
- Amount signs must match (negative to negative).
Important Notes
- This is the most common matching method for check reconciliation.
- Voided checks are not matched using this rule.
- Voided checks are handled by the Void-to-Issue Matching rule.
Void-to-Issue Matching
Default Setting: Enabled
How It Works
Void-to-Issue Matching identifies checks that were issued and later voided.
The system compares:
- Check Number
- Transaction Amount
Matching occurs entirely within general ledger data.
Requirements
For a successful match:
- The issued check and voided check must have the same check number.
- Amounts must match exactly.
Amount Sign Requirements
Typically:
- Issued checks have negative amounts.
- Voided checks have positive amounts.
This matching rule helps prevent voided checks from appearing as outstanding items during reconciliation.
Alphanumeric Matching
Default Setting: Disabled
How It Works
Alphanumeric Matching compares:
- Matching (Text1) Field
- Transaction Amount
This method is useful when transactions do not include check numbers but contain a unique identifier such as:
- Invoice numbers
- Reference numbers
- Customer IDs
- Payment identifiers
Requirements
For a successful match:
- Both records must contain the same value in the Matching (Text1) field.
- Amounts must be identical.
Amounts may be:
- Positive
- Negative
Important Notes
- Transactions containing check numbers are evaluated using Check Matching rules instead.
- Records without values in the Matching (Text1) field cannot be matched using this method.
- The matching value does not have to be unique, but unique values typically produce better results.
Recommended Usage
When Alphanumeric Matching is enabled, many organizations choose to disable Amount-Only Matching to reduce the possibility of unintended matches.
User Defined Matching
Default Setting: Disabled
User Defined Matching allows organizations to create customized reconciliation rules based on their specific business processes.
Examples include:
- ACH transactions
- Credit card activity
- Payroll entries
- Merchant deposits
- Internal transfers
For detailed instructions, see the article on Categories and User Defined Matching Rules.
Amount-Only Matching
Default Setting: Enabled
How It Works
Amount-Only Matching compares transactions using:
- Amount
- Optional date restrictions
This rule is useful when check numbers or reference values are unavailable.
Requirements
For a successful match:
- Amounts must be identical.
- Amounts may be positive or negative.
Important Notes
- If a transaction contains a check number, Bank Rec Online will attempt Check-to-Check Matching first.
- Amount-Only Matching is typically used for electronic transactions, ACH activity, deposits, and other non-check items.
Best Practice
We recommend enabling Iterative Date Matching when using Amount-Only Matching.
This option helps:
- Minimize false matches
- Improve matching accuracy
- Reduce issues caused by duplicate transaction amounts
Amount-Only Matching and Categorized Records
Bank Rec Online includes an option that limits Amount-Only Matching for categorized transactions.
Recommended Setting: Enabled
Why This Matters
Categories are designed to group similar transaction types together. Keeping this option enabled helps preserve the intended matching logic.
Example
Suppose you create a category for:
Credit Card Transactions
If Amount-Only Matching is allowed across categories, a credit card transaction could accidentally match to an unrelated deposit with the same amount.
When this setting is enabled:
- Credit card transactions match to other credit card transactions.
- Categorized records remain within their intended category.
- False-positive matches are reduced.
Recommendation
For most organizations, leaving this option enabled provides the most accurate reconciliation results.
Additional Tips for Better Reconciliation Results
For the most accurate automatic matching in Bank Rec Online:
- Use Check-to-Check Matching whenever check numbers are available.
- Use Alphanumeric Matching for ACH transactions and payments with unique reference numbers.
- Enable Iterative Date Matching when using Amount-Only Matching.
- Maintain consistent transaction descriptions and reference values.
- Use Categories to improve matching accuracy and reduce false positives.
By properly configuring One-to-One Matching rules, you can significantly reduce manual reconciliation work and improve the speed and accuracy of your bank reconciliation process.
