ACH Universal updated the QuickBooks Desktop encryption process for ease of use and faster encryption processing in Version 2024.0.1, Build 2412.
All bank account numbers in ACH Universal are 'masked' except for the last four digits.
Now, you have the option of turning on QuickBooks Desktop encryption, and the software will encrypt the bank account numbers that show on the Customer, Vendor, or Employee profiles in QuickBooks.
Please check your version of Treasury Software by going to 'Help' and 'About' within our software.
If necessary, before proceeding with QuickBooks Desktop encryption, you may need to download our latest version.
Steps To Access QuickBooks Desktop Encryption (refer to picture below):
1. Click on the 'QuickBooks Desktop Software Integration Window' icon.
2. Add a date range to view transactions that match those processed in QuickBooks.
3. Click 'View Transactions.'
4. Click the 'click to enable' encryption link.
Click the 'Click to turn 'On' button in the pop up window.
Please note: Once QuickBooks encryption is turned 'On,' you will need a code from Treasury Software Support to unencrypt.
You will be shown a series of popups explaining important back up procedures:
The popup below explains that you will be able to create, export and save an Excel file of all QuickBooks Desktop profile information PRIOR to encryption:
The popup below will remind you to please back up your QuickBooks Desktop (qbw) files from within your QuickBooks Desktop Software (follow your company's procedure).
The popup below ensures you have coordinated with other Treasury Software users to encrypt using the encryption link (shown inside red rectangle: #4).
You will now be prompted to enter your transactions through the QuickBooks Desktop integration window.
Once you have clicked on the QuickBooks Integration Window:
1. Enter a date range for transactions in a paid or collected status from your QuickBooks Desktop.
2. Click 'View Transactions.'
3. An Excel file containing all profile data from your QuickBooks Desktop will pop up. Please save this file in a secure location. Then click 'Yes-I saved the listing.'
Your QuickBooks Desktop is now encrypted!
Turning off encryption:
PLEASE NOTE: You must call Treasury Software support to request a password to unencrypt: 866-226-5732. You should be the Treasury Software account contact, a Controller/Finance Manager, or IT Admin to unencrypt with a password -- or we will need to verify your request to unencrypt.
1. Click on the 'QuickBooks Software Integration Window.'
2. Click 'Settings>ACH Settings.'
3. Click 'Encryption.'
4. Click 'Display Encryption Options'
1. Click 'Turn off feature.'
2. Click 'Turn off encryption and decrypt all profiles.'
3. Enter the unlock code. You will need to contact Treasury Software Support for this code: 866-226-5732.
