Utilities: Pre-Notes and Split Deposits
Note: These features are available when vendor, employee and customer information is stored within QuickBooks.
Open the QuickBooks Software Integration window from the home page, or the icon on the Home or QuickBooks menu (ribbon bar) within ACH Universal.
Click on the 'Utilities' tab.
Pre-Notes (Pre-notifications)
Pre-notes are transactions containing zero-dollar amounts.
A pre-note is considered a test transaction that is sent before the actual transaction is transmitted to the bank.
The software will ask which items to include in the pre-note: Customers, Employees or Vendors. You can choose just one group or all three. After that selection, you’ll ‘Display List’.
Select the name(s) to be included in the pre-note by highlighting the row blue, and then select ‘Send Pre-notes to ACH Universal’ button.
Once you select ‘Send pre-notes to ACH Universal’ your file is created and you can send it to the bank.
Split Deposit for Employees
When setting up Split Deposits for QuickBooks employees, they must have an ID Number (or 'Account Number') assigned on their profile. That same ID Number is used when setting up a split deposit in ACH Universal. Embedded help and selections are within the software.
Notes:
--The prenote file will be created automatically at step #3 if the file creation setting is set to automatic.
--Split deposit entries are created at the time that a transaction is imported into ACH Universal. If you re-import a transaction, the split deposit record will be created again.
--If 'Send Override' is used to recreate a file, the split deposits will not be included. It is necessary to delete the import and recreate the file for the split deposits to appear a second time.
--Make sure that your employee numbers are unique, otherwise a split deposit profile can be linked to the incorrect employee.
