There are two decisions to make: the first is the Platform decision; the second is the feature-set decision.
PLATFORM: Desktop / Workgroup / Enterprise
Will you primarily have a single user processing an ACH file? The Desktop platform is for a single user. If you have multiple desktop licenses/users, they will not be sharing data - they will be operating independent of one another. NOTE: The Desktop database may not be placed on a network drive for sharing with several users, as the database may become corrupt.
Before choosing a license, there are two decisions to make: a platform decision, and a feature-set decision. These are some of the most frequently asked questions:
Platforms (number of users and where it is installed): Desktop / Workgroup / Enterprise
1--How many users can apply a Desktop platform license?
It is meant for a single user, but you may also install it on a backup computer and in a test environment.
2--Can the Desktop database be placed on a network drive so different people can login to it?
No, the Desktop database will corrupt if two or more people access it. It is meant for a single user.
3--What is the difference between the Workgroup and Enterprise platforms?
The Workgroup platform provides the software bundled with a free SQL Express so up to five users can share a centralized database. It can be installed on a dedicated workstation or a server. (This is usually chosen when a SQL server is not available.)
The Enterprise platform allows the users to be managed from the SQL server directly. It allows up to five users to share a centralized database. Often, IT Administrators prefer the Enterprise platform because they control user access and permission levels. This provides the highest level of security.
Feature sets (different applications of the software): Standard / Corporate / Advanced (Processor)
1—What features does the Standard edition provide?
You can create a standard PPD or CCD ACH file to pay vendors or employees, or to collect from customers, either by integrating with QuickBooks or by importing an Excel or CSV file.
2--Can I use the email notification feature with the Standard edition?
The email feature is not available in the Standard edition. You would need the Corporate edition for the email feature.
3—Can I include an addenda record on the file with additional information?
Yes, this requires the Corporate edition. It allows you to create an addenda field with additional information, up to 80 characters of alpha-numeric text. Note: The addenda information is often not received by the ACH recipient.
4—What if I need to send a payment to Canada from the U.S.?
If funds originate in one country, and need to cross a border to a different country, it is necessary to use the IAT (International) format, which comes with the Advanced (Processor) edition.
5—What does the Advanced (Processor) edition provide that the Corporate edition does not?
If you are a third-party processor (e.g., an accounting firm or payroll processor), and you are processing on behalf of many other companies, you should license the Advanced (Processor) edition.
Also, if you need to create a CTX file for a vendor, or want higher-level features (SQL insertion, multiple origination, or return files) this is included with the Advanced (Processor) edition.
General Questions
1—Does Treasury Software process the payment once the file is created?
No, you will want to set up ACH Service with your bank to process the text file that is created with ACH Universal. The file must be transmitted or uploaded to your bank (or a third-party processor) for the transactions to be processed.
2—Is there a per-transaction fee charged, on top of the licensing fee?
We do not charge per transaction. You may create an ACH file with one transaction or thousands of transactions. You will pay just one price for a licensing fee.
3—Can I set up more than one bank account or company account with one license?
Yes, the most basic license allows you to set up 20 different accounts.
4—Is there security inside the software?
Yes, there are different levels of security available. Here is a link that explains the Security options: https://help.treasurysoftware.com/hc/en-us/articles/360010928954-Security-Overview
5—What are the differences between subscription and traditional (perpetual) licenses?
Subscription licenses are month-to-month licenses with no contract, and they include full Support. Traditional licenses are one-time purchases. (With traditional licenses, it is necessary to purchase an accompanying, annual Support subscription for continued access to technical support and upgrades.) The software is the same with either license.
6—Do I need a new license every year?
Subscription licenses should work with any year/version of the software. Traditional licenses must be upgraded if your software is upgraded in a subsequent year. (If you continue to use the software version at the time you purchased a traditional license, you would not need to receive a new license.)
7—If I start with a month-to-month subscription, can I change to a traditional license?
Yes. If you do decide to switch from a subscription license to a traditional license, we can credit back up to three months of your subscription fees at the time of the new license purchase. (Please contact us and we can provide a Coupon Code for you to enter during checkout.)
8—What type of Support do you offer?
We offer full phone and email support, and often use remote sessions (with GoToMeeting.com) to troubleshoot and assist. Our Support hours are 10 a.m. to 6 p.m. Eastern time, Monday through Friday. Our SLA can be found here: https://www.treasurysoftware.com/Support/annualsupport.aspx
9—Does the software work in the cloud?
It is necessary to work with a third-party hosting provider to use Treasury Software in the cloud. Our software is not web-based; it is downloaded/installed on your local computers/servers. NOTE: If you are using QuickBooks, be sure the two software systems are installed in the same place.
10—Does the software work on a Mac?
A third-party Windows emulator (such as VMWare, Parallels.com) must be installed on a Mac in order to use Treasury Software. A Windows environment is required.
