--First, be sure to create a New Account for each bank account that will be paying or receiving funds, instead of working in the Sample account (File->New Account)
--Then, complete the ACH File Setup wizard. This identifies the organization and bank account paying or receiving the funds.
Import Transactions
[Note: QuickBooks users will use an integration wizard]
The import data files typically would be created from within your accounting software.
The most popular choices for these files are:
- Comma-separate values (CSV) - recommended
- Excel spreadsheet
- Tab-delimited
You should be able to create an Excel or CSV file that contains all the required information:
- Name
- Account number
- ABA/Routing number
- Amount
- Checking or Savings indicator
Click on Import Transactions on the main home screen.
Select your file to Import and click Open. Common file types are Excel (.xlsx) and .csv
Click Next.
MAP your column headers to identify the data in each column.
Repeat this for all required columns. The required fields are Amount or Amount_Reverse_Sign (if you have positive amounts in the column and you are making a payment, use Amount_Reverse_Sign as the numbers should be credits; if you plan to collect from someone’s account, use Amount), Bank_Account_Number, ABA_Routing_Number, and Name. When all the necessary columns are mapped, click NEXT to continue the Import Wizard.
The review records screen
This screen will display a list of the importable rows and invalid rows. To review the list of Importable Records, click on the “+” sign as shown below.
Then click Next.
Then review the records, check the control total, and make sure everything looks good.
The Invalid Rows section will list all rows that will not be imported. The software will automatically mark header rows, footer rows, summation lines, and blank lines as invalid. For each row that is invalid, a check mark will be placed in the appropriate column indicating why the row was invalid.
Once you have verified the importable information is accurate, click Next. If you wish to Cancel the import process and try again, simply hit Cancel.
Click Finish to complete the Import Wizard.
Creating the ACH File
Click the Create ACH File Page button in the center of the homepage.
This will take you to Create ACH File Page (see below)
Click Create ACH File to create the transmission file.
Once you click on Create ACH File, the software will ask if you want to View the File. Say 'Yes'!
Be sure to transmit the file to your bank using their procedures.
